RE: Student Administration System Upgrade and Transition Period
In July, MATC will upgrade our Student Administration System to the most recent version, Oracle Campus Solutions version 8.9. In preparation for this change, we are scheduling a system transition period from Friday, June 29 at 4:30 p.m. through Sunday, July 8.
Student Administration System Unavailable June 29 at 4:30 p.m. through July 8.
During this period, our system will be unavailable to staff who assist students and the public with inquiries or transactions that require information maintained on our system. We have purposely selected June 29 - July 8 as “down time” for the system as this period has no scheduled registration and our least amount of student activity during the school year. We are scheduling this suspension of system transactions as a precautionary measure to ensure the integrity of our student records as we move from the old to the new version.
The college will remain open as usual during our system transition period, but staff will be unable to view information or perform any system functions related to:
- Updating class offerings;
- Enrolling students; and
- Processing payments.
In addition, online and phone registration services will be unavailable during the transition period.
Customer Service Practices
During our system transition time, we will encourage individuals who need services that require system access to contact the college for assistance starting July 9, when our upgrade will be complete and we are better able to meet their needs. A script with recommended responses and procedures for employees to use during the system transition period (July 2 - 6) is being developed and will be provided to all frontline public service staff by the Enrollment Center, Bursar and Learner Success.
