RE: Campus Scheduling and Event Services

I am pleased to announce the College is establishing a centralized office for room reservations, conference and event services. This office will provide a focused approach to campus scheduling and event management throughout the college. The mission of the office will be to help both internal and external customers plan and utilize the resources of MATC in order to execute events that are successful and appealing. This new office will provide one-stop services for all room scheduling, special event services, technical requirements and catering options for all internal and external events at the college.

Campus Scheduling and Event Services (CSES) will be the central point of contact for all campus information and events. Campus monitors, calendars and daily schedules will also be produced by this office. This office will be part of Infrastructure Services, the department of Auxiliary Services, and under the direct supervision of Corey Helser, who reports to Paul Renzi, Auxiliary Services Director.

CSES is working with the AQIP Room Scheduling team to develop policies and processes related to room utilization. New scheduling software is on order and the team is working on a transition plan to bring all of these services together. We anticipate the actual date the CSES office will begin taking room reservations and servicing events will be in early October once all software, staff and procedures are in place. Until that time, please continue to schedule events, equipment and catering as you currently do. As they complete the transition process, there will be a complete menu of services and contact information sent to all district employees.

The CSES office will be located in the Welcome Center and will manage that function as well. The new Welcome Center will serve as an information center for all students, faculty and staff, and as a one-stop shop for one-card services, bus passes, visitor parking, tuition payments, meal plan payments, guest meal passes as well as the welcome functions for our customers.  We encourage everyone to communicate with this new office when scheduling meetings, events and bringing guests to campus so they can greet all of our customers with the most current and accurate information available.
